ECOBANK CAMEROUN S.A. is recruiting an Executive Assistant, MD Office ready to work across the national territory. The position is based in Douala. Job Level: 5 Job Grade: 3B

NATURE OF CONTRACT:  Permanent Contract

JOB PURPOSE:

The Executive Assistant to the MD is responsible for providing comprehensive support to the MD. This position requires the ability to anticipate needs, think critically, and offer solutions to problems with a high level of professionalism and confidentiality.

KEY RESPONSABILITIES
  • Provide sophisticated calendar management for the Managing Director:
  • Prioritize inquiries and requests while troubleshooting conflicts; make judgements and recommendations to ensure smooth day to day engagements.
  • Manage and maintain the MD’s diary.
  • Organize meetings with internal and external stakeholders with call brief ready 48 hours before time
  • Schedule on behalf of the MD meetings between her and her direct reports and the committees and groups to which she is a member.
  • Ensure busy diary commitments, papers, and travel arrangements are managed effectively including producing a daily folder with diary, necessary papers, etc. and troubleshooting problems.
  • Manage the process of calling for briefing on behalf of the MD from start to finish to ensure that she is fully prepared for all engagements.
  • Conduct weekly diary meetings with the MD to discuss upcoming engagements, invitations and other requests.
Complete a broad variety of administrative tasks that facilitate the Managing Director’s ability to effectively lead the organization including:
  • Replenish office material
  • Process and distribute daily mail
  • assisting with special projects
  • designing and producing complex documents, reports and presentations
  • collecting and preparing information for meetings with staff and outside parties
  • composing and preparing correspondences
  • maintaining contact lists
  • completing expense reports
  • Coordinate travel and accommodation requirements in connection with others and ensure arrangements in place  for the MD match her requirements
  • Filter general information, queries, phone calls and invitations to the MD by redirecting or taking forward such contact as appropriate.
  • Serve as the primary point of contact for internal and external stakeholders on all matters pertaining to the MD, including those of highly confidential or critical nature.
