The post is located at the United Nations Center for Human Rights and Democracy in Central Africa in Yaoundé.

Under the guidance and supervision of the Director of the United Nations Centre for Human rights and Democracy in Central Africa and in collaboration with the Administrative and Finance Officer

Duties and Responsibilities

Description of duties:

Under the guidance and supervision of the Director of the United Nations Centre for Human rights and Democracy in Central Africa and in collaboration with the Administrative and Finance Officer, the incumbent performs the following functions:

Maintain an oversight of the office programs and activities
  • Manage the schedule of official events (common calendar)
  • Receives and directs incoming calls for the office
  • Serves as focal point for all incoming and outgoing correspondences and keeps track of the circulation of information within the office
  • prepares/finalizes communication and correspondences
  • reads and analyses incoming information, communication, submission and reports to determine their appropriate follow-up
  • Supports the Administrative and Finance Assistant in the logistical and operational aspects of sub-regional conferences and other events organized by the Office
  • Makes travel and other logistical arrangements for staff, meeting participants and the Director
  • Liaises with service providers and suppliers in obtaining quotations and information necessary for in the preparation of conferences and meetings
  • Coordinates incoming and outgoing correspondences for the Director
  • Maintains an updated mailing list of Government, diplomatic corps and United Nations Country Team contact
  • Provides office assistance functions to the director and all staff of the Centre, as required, including photocopying, scanning, mailing, etc
  • Develops a hard copy and electronic Office filing system
  • Coordinates the director’s program and schedule of meetings
  • Performs any other duty as assigned by the Director

  • Outstanding inter-personal skills and proven experience in the team work skills,
  • Proven track record in delivery of quality results against deadline.
  • Flexibility and ability to work under pressure with accuracy and professionalism.
  • Detail-oriented and good analytical thinking.
  • Ability to work independently and show initiative.
  • Ability to work on cross-functional tasks.
  • Ability to prioritize workload balance conflicting demands.
Required Skills and Experience

  • Completed secondary school diploma with a minimum of 3 years of work experience in fields of office management, office administration, reception duties, conference organization and planning, including logistics, preferably partly within the United Nations System,
  • Proficiency in English and French, both spoken and written, is required;
  • Experience in the organization of international conferences, including in making travel arrangements for international participants, liaising with service providers or suppliers for conferences is an asset,
  • Knowledge of UN administrative rules would be an important asset
