II. ORGANIZATIONAL CONTEXT AND SCOPE

Yaoundé, Cameroon Medical Health Division Special short-term graded, nine months with possibility of extension

The Data Processing Assistant provides information, relevant to Health Assessment Programs, Applicant processing and other IOM services to the migrants.

The incumbent will be responsible for performing routine administrative functions such as handling inquiries and providing refugee/immigrant assistance as necessary.

Under the overall supervision of the Chief of Mission (CoM) and the direct supervision of the Chief Migration Health Officer (CMHO) the successful candidate will be responsible for the carrying out the following duties and responsibilities in relation to the Migration Health Assessment Centre (MHAC) in Yaounde, Cameroon.

III. RESPONSIBILITIES AND ACCOUNTABILITIES
  • Oversee all Data related activities for both MHAC Yaounde and MHAC Douala
  • Organize daily activities and based on the workload assign various duties in the unit as well as actively participate in day-to-day scheduling.
  • Enter required data in MIMOSA (appropriately and timely) in accordance with MIMOSA SoP guidance
  • Assist to develop and keep up to date MHAC’s Standard Operating Procedures (SOP’s) related to data management and assist in analysis of health data with public health significance.
  • Conduct regular and routine data quality assessments to ensure data is accurate, valid, reliable, complete and timely
  • Assist in analysis of various tools pertaining to migrant flow and satisfaction in MHAC – including active monito active monitoring of scheduling trends.
  • Prepare medical forms, laboratory labels, serology code books, chest x-ray labels and daily scheduling of MHD health assessments.
  • Ensure that reception area prevention and control measures are implemented.
  • Oversee of activities related to provision of accurate information and answers to telephone and/or walk-in queries from applicants regarding their schedules and direct as required.
  • Assist in improving the integrity of customer care work by proposing key fraud prevention well organized and presentable at all times and ensure infection
  • Receive all completed medical deferrals/furtherance, x-rays and other documents from MHD, update the reception of the same in the database and forward to the migration health physician for clearance.
  • Support the completion of medical forms, DNA packages and other medical documents and they are transmitted to relevant partners, either by electronic means or by courier services. ensure Verify that correct contacts and physical address are used whenever documents are transmitted by courier services and ensu electronically: Updating MHAC information on the country MHD Websites and ensure up to date information are well displayed on the partners websites including information related to provision of IME for Canada self-payer program and UK TB detection program.
  • Prepare and submit monthly statistics on Health Assessments performed at MHAC. to inform the receiving party of the parcel number
  • Maintain confidentiality and security of migration health data in accordance with the IOM Data Protection Principles.
  • Organize systematic collection, processing and analyses of migration health data. Ensure data quality. Provide periodic, as well as ad-hoc reporting to MHD, for Migration Heath (MH) activities.
  • Prepare correspondence to respond to queries in respect to relevant matters of the MHAC. File incoming/outgoing letters, reports, memoranda, emails faxes as well as IOM documents and forms related to JOM medical issues.

  • Participate in mobile health assessment missions in the Region to provide IT/Database support.

  • Ensure all QC issues are solved in time, returned cases are regularly monitored and reported and ongoing data entries without backlog for both locations
  • Suggest improvements to strengthen internal control mechanisms; provide inputs for new procedures to complement and/or adapt existing instructions in an effort to achieve streamlining efficiencies. various follow-up needs. to needs arise.
  • Assist in development of proposals, action plan or implementation of activities related to the overall migration related programming of the Country Office through close collaboration with the various units at the Country Office.

IV. REQUIRED QUALIFICATIONS AND EXPERIENCE EDUCATION
  • Must have a University Degree with at least three years of relevant working experience; or,
  • Secondary School Diploma with at least five years of relevant working experience. University degree in Public health or other health related field is an added value.
EXPERIENCE

Expérience in managing large dynamic teams, with a customer service, IT or administrative background. High computer literacy in Windows and MS Office is mandatory, knowledge of web page design would be an asset. In-depth use of MS office applications, data collection and manipulation.
  • Knowledge of medical terminology, as well as previous secretarial and archival experience, an added advantage; and,
  • Previous working experience with NGOS or international organizations is an asset.
SKILLS

In depth knowledge of the broad range of migration related subject areas dealt with by the Organization; and,
  • Knowledge of UN and bilateral donor programming.
  • Knowledge of financial rules and regulations. Knowledge of International Public Sector Accounting Standards (IPSAS)
V. LANGUAGES

Required (specify the required knowledge) Fluency in English & French is required
