Role Context

We are seeking for a responsible Administrative Assistant to perform a variety of administrative and clerical tasks. Duties of the Administrative Assistant include providing support to our managers and employees, assisting in daily office needs and managing our company’s general administrative activities.

Key Responsibilities
  • Assist the Country Manager in formatting, making letters, referencing them, send them and making sure that we have the acknowledgment of receipt;
  • Manage all letters received or sent ;
  • Receive all shipments coming from the network and monitor and dispatch;
  • Organize/plan meetings and prepare meeting room and materials;
  • Liaise with executive and senior administrative assistants to handle requests and queries from senior managers;
  • Organize and schedule appointments;
  • Write and distribute email, correspondence memos, letters, faxes and forms;
  • Assist in the preparation of regularly scheduled reports;
  • Develop and maintain a filing system;
  • Order office supplies and research new deals and suppliers;
  • Maintain contact lists;
  • Book travel arrangements;
  • Submit and reconcile expense reports;
  • Provide general support to visitors;
  • Act as the point of contact for internal and external clients;
  • Monitoring the processing of files (incorporations, withdrawals and reimbursements) with insurers;
  • Follow up on files with the Administration;
  • Call customer when needed for appointment for the Sales Manager and Country Manager
  • Prepare material for training;
  • Deal with hotels and all suppliers in order to organize training;
  • Keep record of sick-leave and send a report to the HR.
Minimum Requirements
  • Education and experience
  • Proven experience as an Administrative Assistant;
  • Knowledge of office management systems and procedures;
  • Proficiency in MS Office (MS Excel and MS PowerPoint, in particular);
  • Excellent time management skills and the ability to prioritize work;
  • Attention to detail and problem solving skills;
  • Excellent written and verbal communication skills;
  • Must be proficient in english and French;
  • Strong organizational skills with the ability to multi-task;
  • High School degree; additional qualification as an Administrative assistant will be a plus.
